Privacy Policy

Welcome to Aryatara Holidays. Stemming from this, any trek booked with us is subject to the following terms and conditions which should be read and understood by all our customers before proceeding to do so. Any booking made and any deposit paid by the client confirms that they have read and accepted our terms of service stated herein.

Booking and Payment Terms

  • Customers deposit and booking confirmation
  • A deposit of 20% of the total trek cost, to be paid while booking the trek, with a minimum of $400 USD is non-refabled.
  • The company requires the deposits to be paid through bank transfer from an international bank, credit card or any other means acceptable to the company.
  • The returns and other charges with regards to banks and transactions are all for the client.
  • A deposit and a signed booking form are required and your booking is only considered final once received.

Balance Payment

  • All payments should be paid 30 days before the start of the trekking.
  • Bookings made within 30 days to the date of travel require a 100% prepaid payment.
  • Modes of payment are USD, EUR, GBP or AUD converted by the current exchange rate
  • They use credit card payments that attract a 4% processing fee.

Cancellation by Client

  • More than 60 days before departure: Loss of deposit
  • 30-59 days before departure: 50% of total trek cost
  • 15-29 days before departure: 75% of total trek cost
  • Less than 15 days before departure: 100% of total trek cost

Insurance Requirements

  • All participants must obtain comprehensive travel insurance that includes:
  • Emergency medical evacuation up to 6000 Metres
  • Health insurance should be at least $100 000, USD
  • Caution: This product provides trip cancellation and interruption protection only.
  • The compensation extent for the hiking exercises in the high altitudes.

Insurance Verification

  • Cover note should be filed at least fifteen days before the commencement of trekking.
  • Those clients who do not have adequate insurance cover will not be allowed to begin the trek.

Documentation Requirements

Passport and Visa

  • Holder of a valid passport with at least six (6) months’ validity from the date of arrival in the country.

  • Duly filled and signed visa application form

Trekking Permits

  • Photocopy of passport for standard trekking areas
  • Biometric passport needed for such zones
  • Other images as provided by the different areas as may be needed
  • The fees for permits must be fully prepaid.

Trek Operations and Safety

  • n other aspects concerning the safety of the trek and operations of the trek, the trek guide has full say.
  • A guide can change a program due to rain, sickness, or other matters of concern.
  • Regarding safety and trek procedures, clients have to obey all the mentioned guide instructions.

Health and Fitness

  • All clients are supposed to declare any illnesses or health issues that may exist prior to confirming an appointment with their service provider.
  • A health check may be mandatary before commencement of the trek
  • Some of the trekking must have basic physical fitness levels in order to attempt such treks.

Equipment and Gear

  • As mentioned in the trek information, clients have to supply all necessary personal gear.
  • Pre-trek some equipment checks will be made
  • The use of rental equipments is always at extra charges

Liability and Responsibility

Company Liability

  • We maintain required business liability insurance
  • Our liability is limited to the services directly provided by our company
  • We are not liablresponsible for third-party services or force majeure events

Client Responsibility

  • Clients are responsible for their personal belongings
  • Client must agree with local laws and customs
  • Following environmental and conservation guidelines

Changes and Modifications

Itinerary Changes

  • We reserve the right to change itineraries due to weather, safety, or other operational requirements
  • No compensation will be provided in case of necessary itinerary changes
  • Alternative arrangements will be made where possible

Price Changes

  • Prices may be subject to change due to factors beyond our control during trek. 
  • Any price changes will be communicated before final payment is due
  • Confirmed bookings will not be subject to price changes after full payment is done.

Additional Services

Airport Transfers

  • Complimentary airport transfers included along with trek packages
  • Missed transfers due to flight delays/changes will be added in additional charges

Accommodation

  • Standard accommodation as specified in the itinerary
  • Upgrades available at additional cost where possible during stay
  • Extra nights’ accommodation due to delays are at client’s expense during trip

Photography and Marketing

  • We have the right to use photographs taken during treks for marketing purposes
  • Clients may opt out of photo usage by written request
  • Client testimonials may be used for marketing with permission

Complaints and Dispute Resolution

  • All complaints must be reported to the guide immediately in the trek
  • Written complaints must be submitted within 30 days of trek completion
  • Disputes will be resolved according to Nepal law

Privacy Policy

  • Client personal information will be protected as per our privacy policy
  • Information will only be shared as required for trek operations in case of need only
  • Marketing communications will be sent only after  client consent

Governing Law

These terms and conditions are governed by the laws of Nepal. Any disputes shall be subject to the exclusive jurisdiction of the courts of Nepal.
